Key Responsibilities

 

Render General Pastoral Support Services: You will provide general support services to your team, ensuring a conducive work environment for all members.

 

Record, Organize, Store, and Retrieve Correspondence and Data: Effective management of incoming and outgoing correspondence, as well as data, is crucial. Your role will involve accurately recording, organizing, and retrieving this information.

 

Update Registers and Statistics: Maintaining up-to-date records and statistics is essential for decision-making and reporting. You will be responsible for this important task.

 

Handle Routine Inquiries: Responding to routine inquiries from various stakeholders is part of your role, demonstrating excellent customer service skills.

 

Make Photocopies and Send Facsimiles: Administrative tasks include photocopying documents and sending faxes as needed.

 

Distribute Documents to Stakeholders: You will be responsible for distributing documents to relevant stakeholders as required, ensuring timely and efficient communication.

 

Maintain the Filing System: Keeping the filing system organized and up-to-date is crucial to ensure easy retrieval of documents and information.

 

Type Letters and Other Correspondence: When needed, you will be responsible for typing letters and other correspondence to facilitate efficient communication.

 

Qualifications and Requirements

 

To be considered for the position of Administration Clerk, you must meet the following qualifications and requirements:

 

Possession of a Grade 12 Certificate.

Basic computer knowledge.

Knowledge of pastoral duties and practices.

Understanding of the legislative framework governing the Public Services.

Knowledge of working procedures within the respective directorate.

Good communication skills, both verbal and written.

Strong planning and organizational skills.

Interpersonal skills and the ability to work effectively within a team.

Flexibility and the capability to work within a group.
