We are seeking an Administrative Controller for Time & Attendance to join our Human Resources team. This role is pivotal in maintaining accurate records of employee hours worked, ensuring compliance with company policies and regulations, and supporting efficient workforce management and payment processes for all departments within our branch.

 

### Requirements

– Fluent in Business English

– Solid knowledge of South African labour legislation and its application

– Code 08 Driver’s license

– National Diploma

### Duties and Responsibilities

 

**Manage Time & Attendance and Payroll Data:**

– Input and maintain employee time and attendance data, including hours worked, time off, and overtime.

– Verify daily TA records for permanent and TES employees.

– Resolve discrepancies and obtain management approval for weekly timesheets.

– Submit monthly hours worked for payroll processing.

– Generate reports on employee attendance and costs for management or payroll purposes.

– Calculate short-time/overtime/allowances to ensure correct system calculation.

 

**Manage Time & Attendance and TES Purchase Orders:**

– Input and maintain TES employee time and attendance data.

– Verify daily TA records for TES employees.

– Capture TES hours worked and link appropriate TES rates for weekly PO creation.

– Submit weekly POs to TES suppliers and perform reconciliations between POs and invoices.

 

**Data and Systems Integrity:**

– Maintain accuracy of employee, shift, cost centre, hourly rates, and other required fields in TA, payroll, HR, and financial systems.

– Ensure the accurate and timely enrolment and termination of employees on TA biometric systems.

– Administer and maintain timekeeping systems to accurately record employee work hours.

– Address discrepancies in time and attendance records.

 

**Governance and Compliance:**

– Enforce company time and attendance policies consistently.

– Ensure compliance with labour laws related to timekeeping and attendance.

– Collaborate with HR, payroll, and other departments for accurate and timely processing of time and attendance data.

– Generate reports for management or disciplinary records.

– Identify opportunities to streamline timekeeping processes and improve efficiency.

 

**Support and Reporting:**

– Provide training and support on timekeeping systems, policies, and procedures.

– Assist in resolving inquiries related to time and attendance.

– Liaise with HR, payroll, and other departments to ensure smooth communication and coordination.

– Monitor and report on monthly TES headcount and costs by department.
